ASENSI Oy Privacy Policy

The purpose of this privacy policy (“Privacy Policy”) is to inform Users about how and why ASENSI Oy collects and uses Users’ personal data for managing customer relationships, marketing ASENSI’s services, and providing the website www.asensi.fi (“Website”). Users may be representatives of ASENSI Oy’s customer companies, representatives of potential customer companies, or individuals visiting the Website (“User”).

The data controller, in accordance with data protection legislation, is ASENSI Oy (“ASENSI”). ASENSI is responsible for ensuring that personal data is processed in accordance with this Privacy Policy and applicable data protection legislation.

2. Legal Basis and Purpose of Processing Personal Data
ASENSI processes Users’ personal data for several purposes, which are described below.
2.1 Customer Relationship
ASENSI processes personal data for managing and maintaining the customer relationship, handling customer communications and contacts. The provision of ASENSI’s services, processing and delivery of orders require the processing of personal data. In this respect, the processing of personal data is primarily based on the agreement between the customer company and ASENSI, including the implementation of pre-contractual measures and the related processing of personal data.
2.2 Marketing and Website
Users’ personal data may be used for marketing purposes and to provide the Website. Users’ personal data may be collected and used if the User contacts customer service, subscribes to a newsletter, participates in competitions, or otherwise expresses interest in ASENSI’s operations, for example at trade fairs and events. The User’s personal data may be used to send electronic marketing communications. In this respect, the processing of personal data is based on ASENSI’s legitimate interest, the purpose of which is to market ASENSI’s services and to provide Users with relevant information about services and products as part of the Website.
2.3 Product and Service Development
ASENSI’s goal is to provide high-quality products and services. Therefore, ASENSI may use the User’s personal data to analyze the market, user groups, the Website, products and services in order to develop the quality of products and services and improve the customer experience. This processing of personal data is based on ASENSI’s legitimate interest in developing its business and producing better products and services.
ASENSI uses cookies and other similar technologies for statistical and marketing purposes, to provide the functionality of the website, and to improve its quality and user experience.
2.4 Data Security
ASENSI may process personal data to ensure the security of the Website and information systems. ASENSI maintains data security measures to protect business-related information, including personal data, to ensure the availability of business-related services, and to prevent and investigate criminal activities. The implementation of data security measures requires, to a limited extent, the processing of Users’ personal data. In this respect, the processing of personal data is based on ASENSI’s legitimate interest in securing information systems and data that are essential to the business, including Users’ personal data.
3. Personal Data Collected
3.1 Customer Relationship
ASENSI may process personal data about Users for managing the customer relationship. ASENSI regularly receives the personal data it processes from the User themselves in connection with an order and/or delivery, including, but not limited to, the following personal data:
- User’s name, position/title, and contact information;
- Customer company information, such as the customer company’s name, business ID, and customer number;
- Information regarding the customer contract relationship, such as order information, start and end date, and billing-related information; and
- Customer communications and other contacts related to the order and delivery.
3.2 Marketing
ASENSI may process personal data about potential customers and their representatives for marketing purposes when the User contacts customer service, subscribes to a newsletter, or participates in competitions at trade fairs or other events. ASENSI regularly receives the personal data it processes from the User themselves. ASENSI may collect the following personal data:
- User’s name, position/title, and contact information;
- Customer company information, such as the customer company’s name and industry;
- The reason for the contact and related information; and
- Subscribed newsletters and/or events attended.
3.3 Recruitment
ASENSI may process personal data to manage the recruitment relationship. ASENSI regularly receives the personal data it processes from the User themselves.
3.4 Website Use
ASENSI may automatically process technical data in connection with the use of the Website when the User navigates the Website, including, but not limited to, the following personal data:
- IP address, device ID, device model, operating system, and settings;
- Timestamps and log data related to the use of the Website.
- ASENSI may also collect information about visits, number of visits, user groups, and navigation on the Website using cookies and similar technologies for statistical and marketing purposes. The statistics help to understand how Users use the Website and to make it more user-friendly.
3.5 Other Sources
ASENSI may from time to time collect Users’ personal data from other sources, such as publicly available sources and third parties, such as marketing companies or social media.
4. Data Disclosure
ASENSI may disclose Users’ personal data to third parties in the following situations:
- To trusted service providers who act on behalf of ASENSI and do not have an independent right to use the personal data that ASENSI discloses to them.
ASENSI may use, for example, IT providers for the maintenance of information systems, marketing companies to promote marketing, recruitment systems to store applications, or collection agencies to collect invoices; - When required by law, such as to respond to a subpoena or in connection with legal proceedings;
- If ASENSI is involved in a merger or business transaction;
- When we believe in good faith that disclosure is necessary to protect our rights, protect your safety or the safety of others, investigate fraud, or respond to a government request.
5. Data Retention
ASENSI will only retain Users’ personal data for as long as is necessary to fulfill the purposes defined in this Privacy Policy, and thereafter the personal data will be deleted, unless legislation or the rights or obligations of the parties based on the agreement require the personal data to be retained for a longer period.
The main retention periods are as follows:
- Personal data related to the customer relationship will be retained for the duration of the customer relationship and thereafter for as long as the rights and obligations related to the contractual relationship require, such as handling billing, or for as long as required by law, such as the Accounting Act.
- Personal data collected for marketing purposes will be deleted two years after the parties’ previous contact, unless the rights and obligations of the parties based on the agreement or legislation require the personal data to be retained. The User’s rights related to marketing are described in Section 7 of this Privacy Policy.
6. Rights
The User has the right to access their personal data, correct and update their personal data, and request restriction of data processing as provided for in applicable data protection legislation. In addition, the User may request the deletion of their personal data. Please note that deleting all personal data may not be possible during the contractual relationship due to legislation or obligations related to the contractual relationship.
The User has the right to object to processing based on legitimate interest. The User has the right to prohibit the use of their personal data for direct marketing purposes.
The User has the right to receive their personal data in a structured, commonly used, and machine-readable format and to transmit that data to another controller, within the limits and in accordance with applicable data protection legislation. This right applies to personal data provided by the User themselves, which has been collected based on the User’s consent or the customer contract relationship. The right to data portability does not apply to personal data processed on the basis of a legal obligation.

The User has the right to lodge a complaint with the national data protection authority if the User believes that the processing of their personal data has violated data protection legislation. 7. Data Protection
ASENSI has appropriate technical and organizational security measures in place to protect personal data against loss, destruction, misuse, and unauthorized access. ASENSI restricts access to personal data only to those employees and contractors who need to know that information in order to perform their jobs and to service providers who may only process the data in accordance with ASENSI’s instructions. All persons with access to personal data are bound by a duty of confidentiality.
8. Changes
We reserve the right to change and update the Privacy Policy. If we make changes to this Privacy Policy, we will add a notice to the Website, where you will also find the latest version of the Privacy Policy.
